How is a quote calculated?
To calculate a quote, we need the following information:
- The full details of your project.
- The number of words your documents have.
- Original and target languages.
- Subject matter (general, financial, technical, etc.).
- The document’s original format (paper, Word, PowerPoint, QuarkXpress, etc.).
- And if the translation is a RUSH or needs to be CERTIFIED.
How do I find out the word count for my documents?
If you original is on PAPER, you can estimate the word count by basing it on the
number of words in certain sections. Obviously, this is not an exact procedure,
and is one of the reasons why it's better to work with documents in electronic
format.
If your document is in ELECTRONIC FORMAT, you can get an exact
word count instantly by using the corresponding function in the menu of your word
processing program. If you are unsure about how to do this, see the following section.
How do I perform a word count in standard applications?
If your document is on paper, you will need to send it to us by fax or regular mail
so that we can count the words and provide an exact, guaranteed quote. Or, you can
count the words yourself by counting the words in certain sections of the document
and making a logical calculation. Although these kinds of estimations are not exact,
another alternative is to count the words on several pages, take the average of
each page and then multiply this by the number of pages the document has. These
methods are not always easy however and require some experience. For these and other
reasons, it is better to work with documents in electronic format.
If your document is in electronic format, calculating the number
of words is easy and takes just a few seconds. Simply find the program you use below
and follow the instructions:
Microsoft WORD (Files with extensions *.doc, *.rtf, or *.txt)
- Open your document.
- Go to «Tools» and select «Word Count».
Microsoft POWERPOINT (Files extension *.ppt)
- Open your document.
- Go to «File» and choose «Properties».
- Click the central tab labeled «Statistics».
A window will appear which lists your document's
properties, including the number of pages, paragraphs, lines and words.
Microsoft EXCEL (Files with extension *.xls)
EXCEL does not have a word count function. You will have to copy the text from your
Excel sheet to an MS Word document and count the words there. To do this:
- Open your document.
- Select the text on your Excel sheet that you want to have translated.
- Go to the «Edit» menu and choose «Copy».
- Open an new document in WORD. Paste the copied text into it by choosing «Paste»
from the «Edit» menu.
- Go to «Tools» and select «Word Count».
Microsoft ACCESS (Files with extensions *.mdb or *.dbf)
- Open your document.
- Go to «Tools». Choose «Links with MS-Word», and then choose
«Publish with MS Word».
- Go to WORD. The same table will appear, but in *.rtf format (i.e., as a Word document).
- Go to «Tools» and choose «Word Count».
QuarkXPRESS (Files with extension *.qxd)
- Open your document.
- From the «Utilities» menu, choose «Check Spelling» and
then choose «Document»
A small window will appear and perform a «Word Count».
Adobe ACROBAT (Files with extension *.pdf)
Adobe Acrobat and Acrobat Reader do not have a word count function.
You will have to copy the text into an MS Word document and count the words there. To
do this:
- Open your document in Adobe Acrobat.
- Select the text you want to have translated.
- From the «Edit» menu, choose «Copy»
- Open a new document in Word. From the «Edit» menu choose «Paste».
- Go to «Tools» and then choose «Word Count».
Can I cancel a translation order?
Yes, you can cancel a translation order, paying the costs that have incurred up
to the moment of cancellation.
Will we keep in contact during the translation process?
During the translation process, doubts may arise that we can only resolve with your
help. That’s why it is important that you clearly indicate to us who the contact
person from your team will be on each project.

Can I request changes or revisions to
a document after it has been delivered?
If after examining the translation we have delivered you would like to change or
revise it, please contact us.
How long does it take to translate a document?
To give you a general idea, the translation of a document depends on the following
factors:
- Translation, proofreading and editing time. Each of our translators can
complete between 1500 and 3000 words per day, per project, depending on the complexity
of the document. The number of translators, proofreaders and editors working on
a project will depend on the size of the documents.
- If the original document is on paper, it will take longer to reconstruct
the format than it would for an electronic document. At Orchestra, we always recommend
that our clients work with documents in electronic format.
